Privacy notice

Who is responsible for your information?
Integrated Panel Technologies Ltd is the controller of personal information collected through IPTSys.com for the Self Developed IPS Housing proposal. For privacy enquiries or to exercise your rights, email info@IPTSys.com.
What we collect and why
When you request the brochure, we collect your name, email address and optional postcode. We record your registration date, brochure delivery status, choice about future updates and a private link identifier. We use these details to send the brochure and follow-up link, administer your registration and understand interest in the proposal. Name and email are needed to fulfil your request; postcode and future updates are optional.
If you complete the follow-up questionnaire, we record your answers and submission date, linked to your registration. These may include whether you remain interested, your profession, reasons for interest, home preferences, benefits that matter to you and any comments you choose to provide. The questionnaire is voluntary. Please avoid including sensitive personal information or information about other people in comments.
We use combined, non-identifying results to assess demand and demonstrate public interest to Homes England and other potential supporters. We do not include names, email addresses, identifiable comments or other information that identifies individual respondents in those results.
Our lawful bases
We rely on legitimate interests to respond to your brochure request, administer expressions of interest, analyse voluntary questionnaire responses and protect the website. Our interests are providing the information you requested, understanding demand for SD IPS Housing and maintaining a secure service. We consider your privacy and reasonable expectations when using information for these purposes.
We rely on your consent to send occasional future promotional updates. The optional updates box is separate from your brochure request. You can receive the brochure and answer the questionnaire without opting in.
You can object to our use of your information based on legitimate interests at any time by emailing info@IPTSys.com. You can also withdraw consent to future updates at any time, without affecting earlier lawful use. To stop updates, email info@IPTSys.com with the subject “Stop SD IPS updates”. You do not need to give a reason.
Who handles your information?
Authorised people acting for Integrated Panel Technologies Ltd handle registrations and responses. Our website and email provider is names.co.uk (Team Blue Internet Services UK Limited), which processes information to provide hosting, database and email services. Its authorised service providers may also process information for those services. We do not sell your personal information or give it to other organisations for their own marketing.
Names.co.uk may use service providers in other countries. Its data processing terms require transfer protections for those arrangements. Where UK personal information is transferred overseas, an applicable UK adequacy arrangement or other appropriate safeguards must apply. Contact us for details of applicable arrangements and how to obtain information about the safeguards.
How long we keep information
We keep identifiable registration details, questionnaire answers and your updates preference for up to 12 months after your latest registration or questionnaire submission. At the end of that period we delete them or remove identifying details so that individuals can no longer be identified. We may keep genuinely anonymous totals for longer.
If you ask us to stop updates, we stop using your details for that purpose. We may retain a limited record of your request for as long as needed to honour it and avoid contacting you again. Records needed to handle a privacy request or meet a legal obligation are kept only for that purpose and for as long as necessary. Copies in service backups are removed through the applicable backup replacement cycle rather than used for routine contact.
Website sessions and service records
The registration application uses a session cookie to support form security and prevent repeated submissions. This is used to operate the forms, rather than for advertising. Hosting and email service records may include technical information such as IP addresses, request times and delivery or error information for operation, security and troubleshooting, under the provider’s applicable service retention arrangements.
Your rights and choices
Depending on the circumstances, you can ask to access, correct or delete your personal information, restrict its use, object to processing, or receive information you provided in a portable format where that right applies. Email info@IPTSys.com. We may need enough information to verify your identity. We normally respond within one month; if a lawful extension is needed, we will explain why.
You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. You can contact us first, but you do not have to.
Registration and questionnaire answers do not create a reservation, contract or financial commitment. This application does not make automated decisions about your eligibility for housing, credit or a mortgage.
